Privacy Policy

This policy explains what information Coaching OS AI collects when you use our website and platform, how we use it, and the choices you have. We'll keep this page updated as the product evolves.
Information we collect
When you book a demo, sign up for the platform, or contact us, we collect information you provide directly - such as your name, email, phone number, and business details. When you use the platform, we also collect information about your leads, clients, and automations that you or your clients submit through the product (for example, through booking pages, chat widgets, or forms).
How we use it
We use this information to operate and improve the platform, respond to support requests, send you product and account updates, and - where you've given consent - for marketing communications. We do not sell your data.
Data sharing
We share data with third-party service providers only as needed to operate the platform (for example, payment processing, email delivery, and AI providers used to power automations), and we require those providers to protect your data. We do not share your data with third parties for their own marketing purposes.
Data security
We encrypt data in transit and at rest, use role-based access control to limit who can see your workspace data, and maintain regular backups. See our Security section for more detail.
Your rights
Depending on where you're located, you may have rights to access, correct, export, or delete your personal data. To make a request, email us at contact@vgoshinfo.com and we'll respond as required by applicable law.
Google user data
If you connect a Google account, Coaching OS AIaccesses only the specific Google data needed for the feature you turn on: Google Calendar event and free/busy data (to create, update, and remove appointments booked through the platform, to hide already-busy time slots on your public booking page, and to show a list of your own upcoming Google Calendar events - titles, times, and attendees - on your My Calendar page), the names of your Google Calendars (so you can choose which ones to use for conflict-checking, team visibility, and new bookings), Gmail send access (to send emails on your behalf through your own Gmail account instead of a shared platform address), Google Sheets access (to write workflow-automation output rows into a spreadsheet you choose), and Google Postmaster Tools data (to show your own domain's email deliverability and reputation metrics in your email analytics dashboard). Your team calendar view only ever shows busy/free blocks from a teammate's calendar, never event titles or attendees - that level of detail is visible only to the member who connected that calendar. We never read your existing Gmail messages, and we never access Google data beyond what a feature you've explicitly connected requires.
Google account tokens are encrypted at rest and used only to operate the feature you connected them to. We do not use Google user data for advertising, and we do not transfer it to any other app.Coaching OS AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Disconnecting a Google integration (from Integrations in the platform) immediately revokes Coaching OS AI's access to that account.
Instagram and Facebook (Meta) user data
If you connect an Instagram or Facebook account to Coaching OS AI, we access only the specific data needed for the feature you turn on. For Instagram messaging automation, we use instagram_basic and instagram_manage_messages to read and send direct messages on your behalf inside your own Instagram inbox, pages_messagingbecause Meta requires it to route those messages to us through your Page's webhook subscription, and pages_read_engagement to read comments on your own posts for comment-to-DM automations you configure. For Facebook Messenger, we use pages_messaging to send and receive messages through your own Facebook Page. For Facebook Lead Ads, we use leads_retrieval to import leads submitted through your own lead forms, and pages_manage_ads only to set up the notification that tells us when a new lead comes in on your own ad account - never to create, edit, or manage ad campaigns. Across all of these, we use pages_show_list (and, for Instagram, business_management) only to let you select which of your own Pages or Business Manager assets to connect - never to access another business's Pages or data.
We never post, message, or act on your behalf outside of a feature you've explicitly turned on, and we never use this data for advertising or sell it to third parties. Instagram/Facebook account tokens are encrypted at rest. Disconnecting an integration (from Integrations in the platform) immediately revokes Coaching OS AI's access to that account. Data retention
We retain your data for as long as your account is active, or as needed to provide the platform. If you close your account, we'll delete or anonymize your data within a reasonable period, except where we're required to retain it for legal or accounting purposes.
